These rules are derived from common sense, to preserve the health and safety of Club users and the security and viability of the Club.
If we need to make changes to these rules we will do so by notice at reception and on this website, announcement in the Express and, where appropriate, by post to the last address that members have provided.
These rules are supplementary to the Terms and Conditions of your membership contract. A copy of the current terms and conditions are set out in the next section.

THE AVAILABILITY OF FACILITIES AND SERVICES
As part of our contract with members, we guarantee to maintain a reasonable availability of our Core Product. This Core Product varies according to what type of membership you have and is defined in the Terms and Conditions of your membership. Copies of the Club's current terms are available for viewing or downloading on this site.
Beyond this, we do not guarantee the availability of any of our usual or advertised facilities or services, and these are subject to withdrawal at the Management's sole discretion, at any time.
In practice the Club offers enormously more than this minimum guarantee. But many of our facilities require both routine and emergency maintenance and repair that involves their closure. It is not possible to keep all of our equipment functioning by preventative maintenance alone, nor is it practicable for us to maintain availability of parts and skilled personnel sufficient for repair to be immediate. Of course we will always do our best to return equipment to service speedily.
For example, the spa, saunas, steam room and pools will each be taken out of commission for a minimum of one week per annum for maintenance to their fabric. But they may also be taken out of commission, without notice, in the event that the health & safety of users would be compromised, and remain unavailable until the situation has been resolved. Such a temporary withdrawal is both foreseeable and reasonable, and does not mean we have failed in our commitment to you.
Occasionally members argue that they have been promised greater or guaranteed availability of particular facilities or services, or variations to the standard terms of their membership, or new facilities or services planned but not yet available. These "promises" might originate from conversations with sales or management personnel that have been misunderstood.
It is important for members to appreciate that the Terms and Conditions of their membership provide the details of the contract with them, and nothing else. For the avoidance of doubt, any special arrangements (for example, a variation in hours of access, as is sometimes provided to the disabled) have to be written into your contract and authorised by a director of the Club.

DAY VISITS TO THE CLUB
We are delighted to welcome a limited number of non-member DAY Visitors to the Club, although the admission of non-member individuals is at all times subject to the sole discretion of management, who are responsible for preserving the exclusivity of the Club for its Members. In general we ask that you note the following:
Complete the guest / day visitor admission form and pay the relevant fee.
The Day Visitor fee does not include a gymnasium consultation; guests may use the gymnasium only by prior appointment with the gymnasium staff.
A maximum of 12 Day / Guest Visits per year are now permitted for each non-member per year. This applies to either a social or facility use of the Club. The year begins on the first guest entry day. Please be aware that all guests need to complete the Park Club Guest form, sign a liability waiver and have a photograph taken for security purposes.

GENERAL RULES
No Member or guest shall attempt to induce any employee of the Club to leave his employment or act in any way contrary to the interests of the Club.
All Club users are expected to respect the normal rules of decorum and not behave in an antisocial or disruptive manner. The Directors and the Management reserve the right, at their reasonable discretion, to ask any person to leave the Club premises. There is no obligation on the part of the Directors or management to disclose their reasons for their decision.If, in the reasonable opinion of the Duty Manager, the conduct of a person is such that their presence on the Club premises is in any way detrimental to the interests of Members or the Club, that Manager may suspend the membership of the person concerned until such time as the Directors may consider the matter and decide what action, if any, is to be taken. Such suspension will debar the person concerned from entering the Club's premises while the suspension is in force.
No member shall use the address of the Club for business purposes save as permitted under the rules of our Website Business Area.
No member or guest may bring refreshments to the Club or the Club premises except for baby requisites. This includes picnicking anywhere at the Club.
Breast feeding is encouraged and welcomed at the Club in all areas other than the adult only bar area, where of course children are not permitted. We do ask that nursing mothers be considerate of diners.
No dog (other than a guide dog for the blind) or other animal shall be admitted to the Club or its grounds at any time.
A Membership Card will be issued to each Member when they join the Club. Each Member must swipe their card for security and verification on each visit to the Club and in and around the Club and its Grounds. Any Member attending the Club without a valid Membership Card may be asked for proof of identification which may slow down entry to the Club.
A Member must not lend their Membership Card to anyone else as Membership is personal and covers only the Member’s use of the Club. On termination of Membership for any reason, the Member is required to surrender their Membership Card to the Club. There is a fee of £5 for replacement of a lost, stolen or damaged card.
No mini-scooters, roller skates, 'heelies' or other sporting equipment that is intended for outdoor use is to be used anywhere inside the Park Club or on the patio.
Smoking. Please note that smoking is not permitted in any area of the Club. For the avoidance of doubt this includes all indoor and outdoor areas.
Lost Property. No member shall take away from the Club upon any pretext whatsoever any newspaper, towel, toiletry, hanger or any other article, being the property of the Club, and any member removing, breaking or otherwise damaging the property of the Club shall at the reasonable discretion of the Management be called upon to make good such damage. Lost Property will be retained for a total of 7 days. After this, the Club will not be responsible for it.
Changing room lockers may only be used while the member is one the premises. All lockers may be emptied at night and any contents removed into Lost Property (see above). If this removal necessitates forcing a lock, the member will be liable for reasonable replacement or repair.
Our liability to compensate Club users for loss or damage (in the case of loss or damage other than death or personal injury) is limited to a reasonable amount having regard to such factors as whether the damage was due to a negligent act.

BOOKING & CANCELLATION POLICY
The Club maintains a policy of free access to sports courts, gymnasium appointments for day visitors - subject to availability. In order to protect appointment availability, a cancellation fee of £5.00 for courts and £20.00 for gymnasium appointments will be strictly enforced if less than 24 hours' notice is given. For Day Visits, beauty, therapy and crèche appointments bearing a charge, a 100% cancellation fee will be levied unless 24 hours' notice is given. For holiday club a 100% cancellation fee will be levied unless 48 hours' notice is given. For younger members sports and activity classes (such as swimming, karate, gymnastics and the like) the following terms and conditions apply:
BOOKING & PAYMENT CONDITIONS
There will be three terms during the year. They are to be called Spring, Summer and Autumn.
Booking dates will be announced via the Club's communications network to allow members to book term by term. Term time courses can only be booked in whole term periods. These are typically 12 weeks in length with a half term holiday break which is not included.
Payment must be received on making a booking in advance of the lesson. Regretfully, without pre-payment we are unable to hold spaces.
You may book individual sessions up to 7 days in advance. Please be aware that when purchasing individual sessions on the day of the class, sufficient time to book, make payment and collect a receipt for the session must be given. The receipt will be required by the instructor of the class as proof of late booking.
Booking and Payment may be made via telephone or in person.
Payment may be made by cash, credit card, cheque, loyalty card, club or stork vouchers.
Receipts will either be given directly to the member booking or if the booking is made via telephone, receipts will be left at reception for collection within two weeks.
RENEWING YOUR BOOKING
To ensure our students get maximum benefit from their tuition, we will attempt to allow existing bookings to be renewed.
Bookings will be open for renewal between 08.00 and 17.00 for two days from the Booking Date. Existing bookings may be renewed and paid for on these dates.
If the existing bookings are not renewed and paid for by 1700 on the cut off date, then the slot will be opened on a 'first come, first served' basis.
CHANGING, MOVING & CANCELLING LESSONS
TPC operates the following cancellation policy:
If notification is received, in writing, of cancellation of the entire course within 7 days of booking, a refund will be issued subject to a 10% administration fee.
If notification is received, in writing, of cancellation of the entire course within 3 days from having attended the first lesson, a refund will be issued subject to a 20% administration fee.
TPC will make every effort to accommodate amendments of individual classes or courses.
Refunds for cancelled individual lessons will only be issued on production of a medical certificate. A credit will be given in the form of club vouchers.
If TPC is unable to provide the lessons for any reason we will offer you a replacement lesson. If we are unable to provide a replacement lesson a credit will be offered. A credit will be in the form of club vouchers. In the event that an instructor is unable to carry out the lesson, TPC will attempt to provide an alternative qualified instructor.
If TPC is able to provide an alternative qualified instructor but you decide to withdraw the student no credit or replacement lesson will be offered.
Cancellations due to inclement weather will not be refunded; however, we will attempt to provide alternative activities/
In the event that a lesson is cancelled outright, we will attempt to contact you using the details that we hold on your member records. It is imperative, therefore, that at the time of booking you reconfirm your contact details.

THE CAR PARK
Parking is restricted to marked bays only. Members must comply with signs placed in the car park from time to time.
The car park is protected by 24-hour video surveillance and security guards, but even these precautions cannot prevent the occasional opportunistic theft. We urge members not to leave valuables in their vehicles and to secure vehicles and cycles at all times.
Parking in Disabled Parking bays is reserved exclusively for those with recognised orange badges displayed clearly within the car.

BAR AND RESTAURANT
Please note the following:
Smoking is not permitted in any area of the indoor or outdoor areas of the Club.
Children under 18 years of age may not enter the Adult Bar area at any time and may not order any item from the bar.
Children are not allowed to run around in the bar and restaurant area, clamber on
furniture or play on fences or in the planted areas. Most importantly they must be supervised by a responsible adult when using the Club’s outdoor play facilities, where improper use (such as climbing the outside of the play tower or slides) is clearly dangerous. These rules are important for the safety of your children, for whose behaviour you are responsible at all times. Children whose behaviour persistently fails to meet the standards expected by the Club may be excluded temporarily or permanently.Other than baby requisites, only food purchased in the Club may be consumed on the premises. We will be happy to warm baby food and drinks on request.
Breastfeeding is welcomed in all areas other than the main bar area, where of course children are not permitted. Nursing mothers are asked to be considerate of diners.
Child members may order food and non-alcoholic drinks from the restaurant servery in the Family Bar & Restaurant.
The Club strives to deliver a high quality food offering & a varied selection of snacks & drinks that we review from time to time to enhance choice. Members are respectfully reminded to refrain from consuming food and drink that has not been purchased on the premises. If a member or guest has a food intolerance & / or allergies we will endeavour to accommodate these needs, please notify the bar & restaurant staff accordingly.
Please do not remove newspapers and periodicals from the bar and its environs.
Please do not move tables and other
furniture around in the bar, restaurant and terrace areas. This makes food delivery extremely difficult and might cause injury. If you need help with a seating combination please feel free to ask one of the restaurant staff. Shirts and shoes must be worn at all times in the bar, restaurant and terrace areas.Ball games are permitted, and indeed encouraged, in 99% of the Club’s lands, but please not in the bar, restaurant or terrace areas. Whilst cricket is not a dangerous sport there is a risk to all who are present at The Park Club whether as a spectator or otherwise when a game is in progress. Every spectator and other person at the Club is present at their own risk and should ensure that their person, their property and particularly their children are kept at a safe distance from the field of play and from any areas used for practice. Members should consult the limitation of liability statement in their membership contract for further wording.
Junior and Child members are welcome in the permitted areas of the Family Bar and Restaurant as follows:

EXERCISE STUDIOS
Please ensure you are wearing non-marking trainers and your clothing is suitable for the class you are attending, as loose or as tight as you feel comfortable in.
If you must keep your mobile phone switch on during the class for emergency calls please do inform the instructor before the class starts. Every class starts with a warm up and ends with a cool down. It is essential, for your own safety that you arrive in time for the warm up and do not leave before the cool down has ended. If for any reason you need to leave early please do inform the instructor before the start of the class.
If you are using any of the studio equipment please be kind enough replace it and, if necessary, wipe it clean before leaving the studio, i.e. the Spinning bikes.
All classes on the Adults Studio Timetable are for adults only. Any Junior Members are welcome to book their place (where availability allows) in any classes on the Young Members Activities Timetable, subject to the terms and conditions of booking.
Parents are not permitted to bring children into the studios to sit/stand while they are participating in an adult studio class.
Parents are not permitted to leave children under the age of 11 years on their own in any part of the Club whilst they attend an adult studio class.

GYMNASIUM
The following should be followed at all times:
Appropriate sports attire including suitable, clean footwear is to be worn at all times. Bare or stockinged feet are not allowed in the gymnasium. Gymnasium staff will be happy to advise you if necessary.
For general hygiene and courtesy to all members, please ensure that your workout gear is clean and deodorant is used.
Please wipe sweat off equipment and mats after use.
When performing multiple sets on machinery, allow other members to use the apparatus whilst resting between sets.
All guests must have a pre-booked appointment with gymnasium staff.
Please do not chew gum whilst you are working out.
Please do not bring glass containers into the gymnasium. Use of plastic water bottles is encouraged and these can be purchased from reception.
Young Adult members (aged 16-18 years) may use the gymnasium at all times it is open. They do not have to have a parent or guardian present in the gymnasium at the times of use.
Urban Parx members, aged 11-15 years, may use the Gymnasium at the times specified above.
No members under 11 years of age are permitted to use the main gymnasium.
Junior (Urban Parx) members may use the main Gymnasium assuming they have completed the necessary induction programme. The induction programme consists of three, one hour sessions with a Gymnasium Trainer either. These sessions must be booked within Urban Parx hours. Completion of all three sessions is required before junior members may use the Gymnasium unsupervised within their permitted Club access hours.

CHANGING ROOMS
For the safety and comfort of all members, please observe the following:
Children under eight years of age are permitted to enter both changing rooms and are to be accompanied by their guardian. Children aged eight years or older must use the changing room appropriate to their sex and behave in a reasonable manner at all times.
When using aerosol sprays, please be considerate to other members near to you.
All clothing and equipment should be kept in the lockers. Anything left out of the lockers may be collected and placed in lost property.
Any padlocks left on lockers at the close of business will be clipped off and all items remaining in the lockers removed. You can claim the contents we have removed from the Club reception for up to one month after removal. After this time, we will not be responsible for any contents we remove from the locker.
Out of consideration for other members, please refrain from shaving, nail clipping and tooth brushing in the showers or poolside facilities. Swimming costumes, towels or magazines should not be left in the saunas. This is a serious fire hazard.
Members are requested to shower before each use of the pool, spa and steam room.
Members are asked to refrain from using hair dye in the changing rooms as it causes staining.
Please return all towels to the collection point.
Please respect the privacy of fellow members of The Park Club.
Children are not permitted in the Adults Only room at any time.
Members are asked to use the minimum number of towels for environmental and economic reasons, and in any event no more than two towels per person. These may only be used poolside and in the changing rooms. They may not be taken beyond the changing room doors. Any Member leaving the Club with a towel, who cannot or will not surrender it, will automatically be charged ten pounds, debited to their Membership Account.
For reasons of privacy and security, and due to video-capable mobile telephones being commonplace, mobile phones may not be used in the changing rooms or poolside. Phones may remain turned on while in the Club, but calls may not be made or received in the areas mentioned above.
If a member wishes to take photographs poolside they must approach either the duty manager or a lifeguard prior to using a camera.
Mobile phones may not be used in the changing rooms at any time. They may however remain switched on with ring tone off.

SWIMMING POOLS, SPA STEAM and SAUNA
Swimming Pools Policy
For the safety and comfort of all members, please observe the following:
ALL children under the age of 11 must be under the DIRECT supervision of a parent or guardian (over the age of 18).For the avoidance of doubt this means that a parent or guardian must be IN THE WATER WITH THE CHILD(REN), including times before and after a swimming lesson. Note: This is a new rule to become effective from 19 September 2011.
The direct supervision of a parent or guardian must be at a maximum ratio of 1:3 children, namely one parent or guardian supervising 3 children (under the age of 11). For the avoidance of doubt, for those members with more than 3 children (under 11 years), another parent or guardian must be in the water or alternatively the children must be swapped round so that there are only 3 children in the water at any one time. This rule also affects guests. Should you wish to bring child guests under the age of 11 years to the club who wish to use the pool(s), you must bring another parent or guardian if you exceed the maximum 1:3 ratio as set out above. Note: This is a new rule to become effective from 19 September 2011.
The pools will be in operation throughout the opening hours of the Club and therefore available to adults at all times. Some areas will be unavailable when being used for a Club activity such as Aquarobics or coaching. Times of such activities will be advised in advance.
Children of nappy wearing age must wear aqua-nappies at all times.
During Family Splash the pool will be divided by means of a lane rope. The size of the division will be at the discretion of the Lifeguard and reflect the balance of users.
Supervision by a parent or carer is mandatory at all times for children under 11.
When set up in Lanes the pool may be used by Junior, Young Adult, Carer, Nanny, Précis and Adult Members) strictly for lane swimming only. Junior and Young Adult members must have successfully completed the club's Swimming Proficiency Test to use the pool in Lanes mode.
In the event of changeable weather, the Management reserve the right to change the timetable.
No running, jumping or diving is permitted near or in any of the pools.
Parents are asked to keep their children's behaviour within reasonable bounds and be considerate of other pool users.
No food or drink may be consumed in the pool hall. Non-alcoholic beverages in plastic bottles may be taken outside.
Please shower in between each use of the pool, spa and steam room.
The Lifeguards are present to ensure the safety of pool users; their instructions must be obeyed at all times. Anyone failing to heed their instructions faces exclusion from the Club.
All Child and Junior members must be out of the pools by 19.00 and changing rooms by 19.15 Saturday to Thursday. On Friday Child and Junior Members must be out of the pools by 20.00 and changing rooms by 20.15. During the winter months children and juniors must leave the outdoor pool by 17.00, every day. This is for safety purposes.

Music will only be played in the pool hall during Aquarobics classes.
POOL OPENING TIMES FOR ADULTS & YOUNGER MEMBERS

SPA POLICY
Members and guests under the age of 16 are not permitted to use the spa at any time.
SAUNA & STEAM POLICY
Members & guests are to comply with the following rules when using the sauna and steam room.
- Users under the age of 16 are NOT permitted to use the sauna and steam room
- All users are to shower before and after each use of the sauna and steam room
- Shaving is not permitted in the sauna and steam room
Use of either the sauna and steam room is not recommended in the following cases:
- Soon after a moderate or heavy meal.
- Within the first month or the last three months of pregnancy.
- If suffering from circulatory disorders such as Angina, Heart Disease or High Blood Pressure.
The principal benefit of the sauna and steam room is relaxation. The deep warmth and feeling of lassitude combined with one or more showers and rest periods should give the user a pleasant, mellow feeling. The heat also creates ideal conditions for skin toning and cleansing. The effect of the hot-cool-hot sensation allows the skin pores to open and close to extreme, flushing out impurities and leaving the skin thoroughly refreshed.
The chief fallacy surrounding these facilities is that they promote weight loss. The only weight loss experienced will be that of fluids. These will subsequently be replaced when a drink is taken.

SPORTS COURTS
For the safety and enjoyment of all Members, please observe the following:
Do not walk across courts when play is in progress.
Return stray balls to neighbouring courts as soon as points are completed.
Leave your court promptly when reserved time has expired and others are waiting to play.
High standards of conduct are expected at all times.
Appropriate tennis attire, including proper tennis shoes with non-marking soles must be worn. Shirts are required.
If a reserved court is not occupied fifteen minutes after the scheduled starting time, the court will be assigned to waiting players on a first-come, first-served basis.
Young children may not be courtside while parents play.

No beverage glasses are permitted on sports courts. Plastic containers should be requested from the bar and we ask players to dispose of these after use in the bins provided.
CHILDCARE
Terms of Booking for The Ark in the Park:
Children may be booked into the Ark for a minimum of 1 hour and a maximum of 3 hour sessions for creche bookings. Half day care is also availbale as a four hour session from 9.00am to 1pm or 1.00 to 5.00pm. Full Day Care is available between 9.00am and 5.00pm.
Children age 6 weeks to 3 months are accepted at the Ark for 1 hour only, from 2.00 to 5.00pm and may attend the Crèche from 3 months to 8 years of age from Monday to Friday, 9.00am til 5.00pm and Saturday & Sunday from 9.00am til 3.00 pm.
We advise that all children should have a settling in period, the length of time will differ for each child. Please ask any member of staff for advice.
You may book up to 6 weeks in advance (these 6 weeks periods are listed by date in the creche).
You must sign your child in on arrival and out each time you attend the Ark.
Children cannot be left prior to their booked session and must be collected by the end of their booked session. Collection after this time means that the next child will not be able to be left, due to the need to maintain child-staff ratios. If you collect your child after your booked session you will be charged a late fee equal to the cost of an hour's session. If you continue to drop off early and collect late your child may be refused entry. If you arrive late, your session may only be extended subject to availability.
Payments must be made at time of booking. This applies to both telephone bookings and those made directly at the desk. For every £50.00 cash, cheque or credit card placed into you account, you will receive a £5.00 Park Club Voucher, with our compliments which can be used anywhere in the Club.
Only authorised parents & carers may drop off or collect your child. If you would like your child to be dropped off or collected by another person, than a Collection Authorisation Form must be filled out prior to the collection date and the named person must visit the Ark prior to the said collection date.
You must remain on the premises if your child is booked into the Ark for sessions lasting up to 3 hours. You may only leave the site if your child is booked in for Half Day Care, Full Day Care and during our Programmed Activities.
Our Sickness & Medicine Policy states that your child must remain away from the Crèche for a minimum of 24 hours (or the time stated in our policies and procedures - please check with a member of staff) if they have a contagious illness or virus.
You may only book one session a day.
There will be no charge made for cancellations made within 24 hours of your booking. If you cancel after this time you will be charged the full amount.
A snack of fresh & dried fruit and sugar free squash, milk or water is provided each day for the children. You may provide your own snack or a packed lunch. Daycare children recieve a hot meal and pudding at lunch please ask staff for Menu.
If the fire alarm sounds, please do not go to collect your children from the Ark. They have their own fire procedure and will be evacuated and escorted to the double gates at the far end of the Ark garden.

PHOTOGRAPHY & VIDEOS
- You may take photographs and video recordings at The Park Club for your own personal use provided that you keep to these rules and any extra rules displayed.
- You must not take photographs or videos of any children under 18 other than your own.
- Anyone who appears in your photographs or videos must be aware that you are filming them and you must get their permission first.
- You must not take photographs or video recordings in a changing area, pool, sauna, steam room, spa, swimming pools, toilet or The Ark in The Park crèche facility.
- If another member is unhappy that you are filming them and makes a complaint to us, we may ask you to show us any images or video which you have taken at the club and to delete them if appropriate. If a member of our team asks you to stop filming or taking photographs you must do so.

The confidentiality of membership information is of paramount concern to The Park Club. To this end The Park Club will comply with data protection legislation and medical confidentiality guidelines. Everyone working for or on behalf of The Park Club has a legal duty to keep any membership information confidential.
Medical Information
We ask for medical information about the member so that they can receive appropriate training and care in the gymnasium and this is recorded by the Physiologists on computer systems. Medical information will be kept confidential.
Marketing & Research
Anonymised or aggregated data may be used by The Park Club, for marketing research or statistical purposes. Medical information will not be used for marketing purposes.
Access to Non-Medical Information
Access may be granted by The Park Club to selected parties on a strictly confidential basis in the course of, and for the purposes of, the efficient administration of The Park Club. Examples would be in connection with an audit, financial management and credit control, systems development and managing or improving our services.
Fraud
Information may be disclosed to third parties with a view to preventing fraudulent or improper claims to a medical insurance company.
CCTV
CCTV cameras and remotely accessible web cameras are used within The Park Club for security and other purposes.
Retention, Storage and Destruction of Information
Clinical information will be stored in a confidential manner whether it be in manual or digital form and will be retained for a minimum of 8 years. Destruction of data, either manual or digital, will be undertaken only by procedure which are documented with an audit trail of activity on destruction.
Right of Access
Members have the right under the Data Protection Act 1998 to receive a copy of all the personal data held about them. Under the terms of the Act, such a request must be in writing and be accompanied by a fee of £10. In certain circumstances a fee of up to £50 may be charged. Proof of identity may be required.
